Hosting an in-person event? π A QR code makes sign-ups (and tracking) in Millie a breeze! Volunteers scan the QR code with their phone day-of, land right on your Millie event page, and register in seconds. Their hours get tracked with zero follow-up for you.
π§° What you'll need
- A published volunteer event in Millie
- Your event's unique URL
- A way to create the QR code (there are lots of great - free! - resources available online, but reach out to team@milliegiving.com if you need help)
π Step 1: Copy your event's URL
- Head to Volunteering in the admin dashboard and open your event.
- Click Employee view to see the event just like your volunteers will.
- Copy the URL from your browser's address bar. This link is unique to your event and drops people straight onto its page.
π³ Step 2: Create the QR code
- Paste your event URL into your QR code tool.
- Download the QR code as an image (PNG or SVG works best for printing π¨οΈ).
- Test it! Scan the code with your own phone to make sure it opens the right event. β
π Step 3: Put it where volunteers will see it
- Check-in tables and sign-in sheets
- Signs at the entrance or at each station
- Event flyers, slides, or a screen at your kickoff
- Name tags or table tents for multi-day events
Add a quick, friendly line next to the code, like: "π² Scan to register in Millie and get credit for your volunteer hours!"
π What volunteers experience
- They scan the code and the event page pops open.
- If they aren't logged in, they sign in to Millie (through SSO if your company uses it).
- They click Sign up, picking a shift if your event has them.
- If Track Volunteer Hours is on for the event, their hours are logged automatically afterward and land in the Pending tab under Volunteers & Hours for your review. β±οΈ
π Tips for a smooth event
- π₯ Check your Max Volunteers setting. If the event is full, walk-ins can't register. Bump up the limit ahead of time if you're expecting a crowd!
- π Have a backup plan. For anyone who can't scan, use Track Volunteers & Hours on the Volunteers & Hours page to add them in bulk after the event.
- πΈ Turn on the activity feed on your event page so volunteers can use the same QR code to share photos from the day.
- β»οΈ Reuse it next year. Duplicate the event and make a fresh QR code from the new event's URL. A duplicated event gets its own link, so last year's code won't point to it.
